The project is supported by the Emergency Management Sector, the Ministry of the Interior and the Professional Initiative for the Development of Fire Protection in Serbia (SIZAR).
In 2019 the project received the Ministry's award for the “Best Technological Innovation in Serbia”. Among 120 entries, the solution “Electronic records of fire protection equipment, devices and installations” took 6th place.
Pursuant to Article 25, paragraph 2 of the Law on Fire Protection (“Official Gazette of the RS”, nos. 111/09, 20/15, 87/18 and 87/18 – other law), the Rulebook on the detailed conditions to be met by legal entities performing the organisation of fire protection in facilities of the first, second and third fire risk category was adopted. In line with this rulebook, Article 10 states:
A legal entity referred to in Articles 4 and 6 of this rulebook shall keep electronic records of the available equipment of the legal entity with which it has concluded a service contract, in which all devices must be registered by barcode. The electronic database shall contain all data from the issued documents on the performed inspection of fire-extinguishing equipment, devices and installations and installations of special systems, as well as all changes to fire-extinguishing equipment, devices and installations and installations of special systems (decommissioning, faults) and the state of their condition. The equipment inventory in digital format, that is, the electronic database of equipment, devices and installations referred to in paragraph 1 of this Article, must be available at all times and submitted to the organisational unit of the Ministry of the Interior that supervises the field of fire and explosion protection.
A single management console for all information in the organisation of fire protection. A map of facilities with the associated devices, equipment, installations, documentation and all other data relevant to exercising professional responsibility.
Automation and synchronised management of inspection activities. Issuing inspection work orders and generating a digital record of the completed inspection in real time make it possible to administer and produce the final document in the shortest possible time.
Records of every kind of fault or malfunction, as well as the history of changes for each device, item of equipment or installation. The process also supports issuing service work orders, then documenting the work and generating a record of the fault being remedied.
The purpose of electronic records is to organise and provide a reliable view of up-to-date data on the condition of fire protection equipment and devices at every protected facility. This makes it possible to determine precisely any faults that need to be corrected for more effective fire prevention. Beyond that basic purpose, organisations and people who work professionally in fire protection gain a powerful tool for everyday work, with numerous features that save time and money.
Once the contract for the use of the eZOP service is signed, users receive a roll of printed labels carrying barcode identification. The identification is unique and is tied to the specific device, item of equipment or fire-extinguishing installation. The user decides how many labels are needed, with a minimum order of 4000 pieces. The labels are matt silver with a high-quality adhesive and measure 25×50 mm. They are printed by direct thermal printing, which makes them resistant to outdoor weather conditions and keeps them readable for a long time. Testing has shown that in outdoor conditions (without physical damage) the print lasts more than 5 years. The administrator issues a work order for reading the identification on the portal. Only the person (a mobile application user) who received the work order through the mobile application may read the barcode and work with the data of that device, equipment or installation. Besides the holder of the work order, authorised staff of eZOP technical support and the competent state authorities of the Republic of Serbia may also read the barcode identification, without the right to modify data.
The main advantage of using the eZOP service lies in the additional features created specifically for users, so that administrative processes in fire protection become considerably faster, more precise and simpler, with systematised data and tools for everyday use.
The basic task of technical support is to keep the eZOP service running smoothly for its users. Technical support continuously monitors and checks the health of the service. So that any problems can be resolved efficiently, the user is expected to describe the technical problem clearly and to stay in touch with technical support until the request is resolved.
Technical support handles the following kinds of requests:
Technical support is available from 8 a.m. to 4 p.m. on every working day. Requests are submitted through the portal and the user platform. The response time for processing a request is 48 hours from the moment it is received. Technical support is obliged to respond to every user request.
