Privacy policy

This Privacy Policy is intended to explain how your personal data is processed when you decide to download and use the “eZOP” mobile application through the Google Play platform (hereinafter: the "Application").

The eZOP mobile application collects your personal data in accordance with the applicable Law on Personal Data Protection and with other applicable laws and rules. Personal data is any data that relates, or may relate, directly or indirectly to you as a natural person.

Should our application contain links to other websites, please familiarise yourself with the privacy policies published on those websites and with the way those parties process data about you. Please note that eZOP has no control over the content of other websites and therefore cannot be responsible for the protection of your privacy when you visit them.

Definitions

For the purposes of this Privacy Policy, the following terms have the following meaning:

  • Personal data is any data relating to a natural person whose identity is determined or determinable, directly or indirectly, in accordance with the Law on Personal Data Protection.
  • Processing is any action or set of actions performed on personal data, such as collection, recording, classification, storage, adaptation, use, transfer, erasure or destruction.
  • Controller is the legal entity that determines the purpose and means of processing personal data.
  • Processor is a legal or natural person that processes personal data on behalf of the controller.
  • User is a natural person who uses the portal at portal.ezop.app or the “eZOP” mobile application.

Personal data protection policy

The controller of the data collected through the "portal.ezop.app" portal and the "eZOP" mobile application is the company Bordi d.o.o., with its registered office in Belgrade, Serbia. Email: info@bordi.co, registration number: 22058142, VAT ID: 114702479. The collection, holding, processing and use of the personal data collected is carried out in accordance with the Law on Personal Data Protection (“Official Gazette of the RS”, no. 87/18). Personal data will not be used outside the purpose for which it was collected, except in the manner prescribed by law. All necessary measures have been taken to protect the data from loss, destruction, unauthorised access, alteration, disclosure or any other misuse. The information collected is not disclosed to, nor exchanged with, organisations outside the system of maintaining the site and providing the relevant services, except in the cases prescribed by law.

In the course of processing personal data, the Controller may engage third parties – processors, who process the data solely on behalf of and on the instructions of the Controller, in accordance with the applicable regulations and the concluded data processing agreements.

The data we collect

When you download the Application, and before the moment of registration (creating a user account), we do not collect any personal data from you, except the data in a request for opening an account or for a presentation, if you send one (see the section “Request for an account or a presentation”). If you decide to register, that is, to create a user account in the Application, we will collect from you:

  • Basic personal data (first and last name)
  • Basic contact data (e-mail address)

When the Application is used in the field, as part of the inspection and servicing of fire protection equipment, the following data may also be processed:

  • Location data: GPS coordinates may be recorded together with an inspection entry, in order to establish where the inspected equipment is located. If the facility is marked as strictly confidential, the location is not recorded.
  • Photographs: optionally, photographs attached by the user when recording a fault or the servicing of a device.
  • Technical data on the use of the Application: the application version, the selected language and the data necessary for synchronisation with the server and for troubleshooting.

The Application requires access to the camera (reading barcodes and taking photographs) and to the location (GPS coordinates of the inspection). You may revoke the permissions granted at any time in the settings of your Android device, in which case the corresponding features of the Application will no longer be available.

Request for an account or a presentation

On the portal portal.ezop.app you can, without a user account, create a sample inspection document and send us a request for opening an account or for scheduling a short presentation. The account is not opened automatically; our team opens it together with you, in a short call at the time you choose.

The data you enter to create the sample document (company and site name, inspector name and extinguisher details) is sent to the server only so that the sample document can be generated from it. It is not written to the database, and the temporary document file is deleted as soon as it has been delivered to you. The sample document is marked as an example and has no legal effect.

If you send a request, we process the following data:

  • company name, first and last name, e-mail address and phone number;
  • the estimated number of devices and sites, and the preferred time for the call;
  • if you created a sample document before sending the request, the site name and the number and types of extinguishers from it;
  • the portal page the request was sent from, the time it was sent and the IP address it was sent from.

The data you enter in the form is required to send the request, because without it we cannot confirm the appointment and prepare the account. The request is sent only with your consent, which you give by ticking the consent box in the form. Once the request is received, its data is forwarded by e-mail to our team, and we send a confirmation that the request has been received to your e-mail address.

We also use the IP address to limit the number of sample documents and requests that can be sent from the same address, in order to protect the form from abuse.

While you fill in the form, the data you enter is stored in your browser (the browser’s local storage, localStorage), so that you can continue where you left off if you close the page. Apart from creating the sample document, this data is not sent to us until you send the request. It is deleted as soon as the request is sent successfully, and a record older than 7 days is discarded. You can also delete it yourself by clearing the site data in your browser settings. Consent is not remembered; it is given anew each time the request is sent.

Categories of data subjects

This Privacy Policy applies to the following categories of persons:

  • registered users of the “eZOP” mobile application;
  • registered users of the portal.ezop.app portal;
  • visitors to the ezop.app website;
  • persons who send a request for an account or a presentation via the portal portal.ezop.app;
  • contact persons of the legal entities with which the Controller has a business relationship

Purpose of processing and legal basis

eZOP collects and manages personal data for the following purposes:

  • to enable you to register and use the Application
  • to improve the user experience.
  • to contact you if that is necessary.

We process your personal data on the basis of the conclusion or performance of a contract, on the basis of your consent, on the basis of our legitimate interest, and in order to fulfil our legally prescribed obligations. With regard to data we process on the basis of consent, you may withdraw your consent at any time by sending a request to: office@ezop.app

Personal data is processed for the following purposes and on the following legal bases:

  • registration and use of the application - processing is necessary for the performance of the contract concluded with the user;
  • communication with users and providing support - processing is carried out on the basis of the Controller's legitimate interest;
  • fulfilment of legal obligations - processing is carried out in order to act in accordance with the applicable regulations;
  • documenting the inspections and servicing of fire protection equipment (location and photographs) - processing is necessary for the performance of the contract and for the fulfilment of the user's legal obligations in the field of fire protection;
  • handling requests for an account or a presentation (confirming the appointment, holding the call and preparing the account) - processing is carried out on the basis of the consent of the person sending the request, and in order to take steps at that person’s request prior to entering into a contract;
  • protecting the request form and the sample document generation from abuse (limiting the number of requests per IP address) - processing is carried out on the basis of the Controller’s legitimate interest;
  • improving the features of the application - processing is carried out on the basis of legitimate interest or the user's consent, where applicable.

Who we share your data with

eZOP does not forward, sell or rent your personal data to third parties. Where it is necessary for the performance of our business activities, access to personal data will be granted to third parties, namely: state authorities and public authorities which, for the purpose of enforcing legal obligations, have the right to access personal data.

To display fonts and styles, the ezop.app website uses publicly available third-party services (Google Fonts and CDN services). When you visit the site, your browser sends those services a request to download files, in the course of which your IP address and basic browser data become available to them. The site does not use cookies or any analytics and visitor tracking tools.

The Application is distributed through the Google Play platform, to whose data processing the rules of the Google company apply.

Data security

We take care to keep your data safe. In that regard, we have implemented appropriate technical and organisational measures to protect your personal data from unauthorised processing and from accidental loss, damage or destruction. We protect the integrity of your data by using SSL encryption and appropriate security passwords.

Data retention period

We keep personal data for as long as is necessary to fulfil the purposes stated above. In doing so, we take account of the legal obligations regarding the retention of personal data. Where data is collected on the basis of consent, personal data will be processed until it is erased, that is, until the consent given is withdrawn, whereby the withdrawal of consent does not affect the lawfulness of the processing carried out on the basis of consent before the withdrawal.

We keep the data from a request for an account or a presentation for as long as communication regarding the request lasts. If an account is opened, the data needed to use it is transferred to the user account. If no account is opened, or if you withdraw your consent, we delete the data from the request. The record of IP addresses used to limit the number of requests is kept only in the server’s working memory, is not written to the database and serves only for the limit within the current hour.

Obligation to provide data

Providing the personal data marked as mandatory is necessary for registration and use of the Application. If the user does not provide the requested data, the Controller will not be able to enable the use of the application's services.

Your rights

You have the following rights regarding the processing of your personal data:

  • If you would like us to provide you with a copy of the personal data we process, you may submit a request for such a copy;
  • If you consider the personal data we process to be inaccurate or incomplete, you may submit a request for the correction or completion of that data;
  • If you would like access to and insight into your personal data, you may submit a request for access and insight;
  • If you would like to restrict the processing of your personal data, or would like us to erase it and stop processing it, you may submit an appropriate request, and we will comply with it in accordance with the law;
  • In cases where we process your data on the basis of consent, you may withdraw your consent at any time, on the basis of which we will stop such processing;
  • You have the right to request that the personal data you provided to us be given back to you in a structured, commonly used and machine-readable format, and the right to transmit that data to another controller without hindrance, in accordance with the law;
  • If you consider it justified, you have the right to object at any time to processing that is necessary for the pursuit of our legitimate interests, and we will, if there are legal grounds for doing so, stop such processing;
  • You have the right to object at any time to the processing of your personal data for the purposes of direct marketing, including profiling;
  • If your personal data is processed by automated means, you have the right to human intervention, to express your point of view on a decision made solely on the basis of automated processing, or to contest such a decision, in accordance with the law.

The competent authority for personal data protection is the Commissioner for Information of Public Importance and Personal Data Protection of the Republic of Serbia. You may contact the authority at Bulevar kralja Aleksandra 15, 11000 Belgrade, Republic of Serbia, by e-mail at office@poverenik.rs or by telephone at +381 11 3408 900.

The Controller will act on the request of the data subject without undue delay, and at the latest within 30 days of receiving the request, with the possibility of extending that deadline in accordance with the law.

Automated decision-making and profiling

The Controller does not carry out automated decision-making or profiling within the meaning of the Law on Personal Data Protection.

Amendments to the Privacy Policy

If we decide to amend the Privacy Policy, we will publish all amendments here. If such amendments are significant, we may decide to send an e-mail to our registered users with the changes to the Privacy Policy. If new amendments to the Privacy Policy require new ways of processing your personal data for which, in accordance with the law, your consent is needed, we will request that consent from you in good time.
